SHIPPING INSTRUCTIONS

Shipping Materials to the Venue

Important Timeline: Packages can arrive at The Old Post Office no sooner than September 16th, 2025 (2 days before the event).

Required Documentation:

  • All sponsors must send an inventory list to leah.stortz@jll.com

  • The Old Post Office cannot guarantee the arrival of packages without an inventory list or point of contact

  • Clearly label all packages with your company name and "Chicagoland Risk Forum"

Package Tracking:

  • We strongly recommend using shipping services that provide tracking numbers

  • Keep all tracking information accessible during the event

  • Contact your sponsorship coordinator with any shipping concerns prior to the event

Return Shipping Process

Preparing Items for Return:

  • All packages must be completely sealed and properly labeled

  • You must schedule pickup directly with your carrier

  • Use the same venue address and contact information as listed above

  • Clearly indicate your company as the return recipient on all labels

Carrier Services:

  • You are responsible for coordinating with your preferred shipping carrier

  • The venue does not provide return shipping materials or services

  • All items must be collected by the end of the day on September 18, 2025, unless special arrangements have been made

Important Notes:

  • If you need additional event registration passes beyond those included with your sponsorship, they must be purchased separately

  • Pull-up banners: If your table space doesn't accommodate your banner, we will do our best to place it in a high-visibility area

ADDITIONAL INFORMATION

Parking

  • Parking is available at 404 W. Harrison Street, Chicago, IL 60607

  • Ride-sharing drop-off is available at the main entrance on Van Buren Street

Wi-Fi Access

  • Wi-Fi will be provided at the event

  • Technical support will be available throughout the event

Meals & Refreshments

  • Continental breakfast: 8:00 AM - 9:00 AM

  • Lunch: 12:00 PM - 1:30 PM

  • Cocktail reception: 5:00 PM - 7:00 PM

SPONSOR RESPONSIBILITIES

  • Arrive during your designated setup time

  • Bring all necessary materials for your display

  • Provide your own signage within your designated area

  • Adhere to venue guidelines (no adhesives on walls)

  • Arrange for return shipping of your materials

LOGOS, BRANDING & MARKETING MATERIALS

  • All company logos should be submitted in high-resolution format

  • Email logos and speaker headshots to Show Manager Mike Andersen at Mike@ChicagoAssociation.com

  • Logos will be used for:

    • Event signage

    • Digital materials

    • Event website

    • Mobile app

  • Submission deadline: July 1, 2025

Pull-Up Banners:

  • Sponsors are welcome to bring pull-up banners

  • If space near your table is limited, our team will place your banner in a high-visibility area

  • Please inform us in advance if you plan to bring a banner

Setup Times

  • Sponsors: 7:00 AM - 7:45 AM day of show

Breakdown Times

  • All sponsors: 5:00 PM - 7:00 PM

  • All materials must be removed by 7:00 PM unless special arrangements have been made

PRE-EVENT CHECKLIST

  • Register all sponsor representatives using the complimentary pass link (deadline: August 15, 2025)

  • Submit company logo and speaker headshots to Mike@ChicagoAssociation.com (deadline: July 15, 2025)

  • Prepare shipping labels and schedule delivery for September 16-17, 2025

  • Prepare and send inventory list to leah.stortz@jll.com

  • Arrange for return shipping from the venue

  • Inform event team if you plan to bring pull-up banners

  • Review your sponsorship benefits and plan accordingly
